The video for this one is coming soon. Until then, the steps below walk you through it. See all tutorials.

You walked the job. You did the numbers in your head on the drive home. The hard part's done.

But the quote sits unsent for two days, because writing it up is a chore. Meanwhile, the homeowner is getting other quotes.

Here's a simple way to use free AI to write it up in about 10 minutes. You set the price. The AI only does the writing.

Never used AI before? That's fine. We'll go step by step.

Time: about 10 minutes (plus 10 minutes the first time to make an account).

What you'll need

  • A phone or computer with internet
  • A free account at chatgpt.com or claude.ai (Step 1 shows you how)
  • Your notes from the site visit
  • Your own prices, already worked out
  • Your usual quote form: Google Docs (free), Word, or your invoice app

Two words you'll see

AI chat: a website or app where you type a question and a computer program types back an answer.

Prompt: the message you type to the AI.

Why a clear quote helps

A number in a text message is hard to compare. A clear written quote:

  • Shows you're organized
  • Answers questions before they're asked
  • Says what's not included, which heads off arguments later
  • Makes it easy to say yes

Step 1: Make a free AI account (one time)

  1. Open your web browser (like Chrome or Safari).
  2. Tap the address bar at the top. Type chatgpt.com or claude.ai. Tap Go.
  3. Tap Sign up and follow the steps. Pick the free plan if it asks.

Step 2: Get your notes down

Right after the visit, open the Notes app on your phone. Type, or tap the microphone on your keyboard and talk. Don't worry about spelling. Something like:

"Smith job. Replace 40 ft fence along back line. Cedar, 6 ft privacy. Remove and haul old chain link. Labor 1800, materials 1250, haul away 200. 2 days. Can start week of the 16th. Gate not included. Need them to confirm property line."

That's all the AI needs.

Step 3: Paste in the quote prompt

  1. Open ChatGPT or Claude.
  2. Find the typing box at the bottom. It may say "Ask anything" or "Message."
  3. Copy the prompt below. (On a phone: press and hold, select, tap Copy.)
  4. Press and hold in the typing box. Tap Paste.
  5. Fill in the [blanks]. Paste your notes at the end.
  6. Tap the send arrow.

Copy this:

Help me write a quote for a homeowner. Turn my notes into a clear, friendly quote. Include:

  1. A one-line summary of the job
  2. A list of costs using ONLY the prices in my notes. Do not make up, round, or change any prices.
  3. What's included
  4. What's not included
  5. How long it will take
  6. Anything the customer needs to do or confirm
  7. How to say yes (reply to this email or call [phone])
  8. A short thank-you

Plain English, no jargon, friendly. Customer first name: [name]. My company: [company name].

My notes: "[paste your notes]"

Step 4: Check every number

Don't skip this. AI can make math mistakes. It can also slip in things you never said. Check:

  • Each cost matches your notes
  • The total is right (use your phone's calculator)
  • Nothing extra was added: no surprise warranties, discounts, or services
  • The timeline is one you can really hit

If something's wrong, just tell it: "The total should be $3,250. Remove the warranty line. I didn't mention one."

Step 5: Make it sound like you

Read it out loud. If it sounds stiff, paste this:

Make this sound like a local contractor talking to a neighbor. Still professional, but less formal.

Too long? Paste this:

Cut this in half. Keep the list of costs and the "not included" part exactly the same.

Step 6: Put it in your form and send

  1. Copy the finished quote.
  2. Paste it into your quote form. (For a free one, go to docs.google.com and tap the + or "Blank" button.)
  3. Add the date and your usual terms, like deposit and how long the price is good for.
  4. Read it one last time. Then send.

If your area needs certain words on estimates or contracts, keep using your usual terms. The AI doesn't know your local rules.

What the result looks like

With the fence notes above, you'd get something like this (a made-up example):

Quote for John: Backyard Privacy Fence

We'll remove your old chain-link fence along the back property line and put in 40 feet of new 6-foot cedar privacy fence.

Costs - Labor: $1,800 - Materials (cedar): $1,250 - Remove and haul away old fence: $200 - Total: $3,250

Not included: a gate (happy to quote one separately).

Before we start: please confirm the property line or share your survey.

Timeline: about 2 days, starting the week of the 16th.

If this happens...

  • The total is wrong. Fix it yourself, or type the right total and ask it to redo the list.
  • It made up a price. Type "Only use the prices in my notes." Then check again.
  • It's way too long. Type "Make it half as long."
  • You can't find the typing box. Scroll to the very bottom of the screen.

Bonus: save it as your template

Once you like a quote, paste this:

Turn this quote into a reusable template with [brackets] where the job details and prices go.

Save it in a Google Doc. Next time, fill in the brackets.

Bonus 2: the follow-up

No answer after a few days? Paste this:

Write a short, no-pressure text to [first name] about the fence quote I sent [3] days ago. Under 40 words.

We have 8 more in AI Follow-Up Texts for Contractors.

Safety rules

  • AI never sets your price. It doesn't know your costs or the job.
  • Don't paste private info. No full names, addresses, or phone numbers in the AI chat. Add those in your form afterward.
  • Always read it before you send it. You're responsible for what goes out.
