Customer Sent You a Photo? Get a Smart Reply in 2 Minutes with ChatGPT (Free Prompt)
Your customers are already snapping photos of leaks, cracks and error codes and sending them to AI. You can use the same trick to answer them faster, ask better questions, and book the visit.
When a customer texts you a blurry photo and "can you look at this?", it's easy to let it sit until tonight. This guide shows you how to turn that photo into a clear, friendly reply in about 2 minutes, with free ChatGPT doing the writing. You still make the call. ChatGPT just helps you get organized and say it nicely.
Never used AI before? That's fine. Every step is tiny.
Time: about 10 minutes the first time, 2 minutes after that.
What you'll need
- The photo your customer sent, saved to your phone or computer
- A free ChatGPT account at chatgpt.com (we show you how below)
- Your usual way of texting or emailing customers
Two words you'll see
AI chat: a website where you type a question and a computer program types back an answer.
Prompt: the message you type to the AI. You can copy ours and paste it in.
Step 1: Save the photo
On a phone: open the text from your customer, press and hold the photo, and tap Save (on iPhone it may say Save to Photos).
On a computer: right-click the photo and choose Save image as. Put it on your Desktop so it's easy to find.
Privacy check: if the photo shows a house number, a person's face, or paperwork with names on it, crop that part out first. Read what not to type into AI.
Step 2: Open ChatGPT and add the photo
First time? Make a free ChatGPT account (you only do this once):
- Open your web browser (Chrome, Safari or Edge). Click the address bar at the top, type chatgpt.com and press Enter.
- Click Sign up. Use your email, or "Continue with Google" if you have Gmail.
- If it asks you to pick a plan, pick the free one.
Backups: Gemini (free at gemini.google.com) and Claude (free at claude.ai) can also read photos. The same prompt works.
- Go to chatgpt.com and sign in.
- Click the + (plus) button at the left side of the message box.
- Pick the option to add a photo or file, then choose the photo you saved. On a computer, you can also drag the photo right onto the chat.
- Wait a second until you see a small preview of the photo in the message box.
Good to know: the free plan lets you add a limited number of photos each day. One photo per job is plenty.
Step 3: Paste this prompt
Click in the message box, copy this prompt, paste it in, and fill in the parts in [brackets]:
I run a small [type of business, like plumbing or roofing] business. A customer sent me this photo and wrote: "[paste what they wrote]". 1. In plain words, tell me what you can see in the photo. 2. List the 3 most likely causes. Say how sure you are about each one. 3. Give me 4 short questions to ask the customer before I go out. 4. If anything in the photo could be a safety risk, say so first. 5. Write a short, friendly text I can send back. Thank them for the photo, ask the questions, and offer two times I can come look: [time 1] and [time 2]. Do NOT give a price. Under 80 words. Sign it from [your first name], [business name].
Press Enter. Read the answer.
Want it shorter? Type Make the text shorter and more casual. and press Enter.
Step 4: Check it, then send it
- Read the "likely causes" part. You're the expert. If ChatGPT is wrong, ignore it. It's only guessing from a picture.
- Read the text it wrote. Fix anything that isn't true or doesn't sound like you.
- Copy the text. Paste it into your reply to the customer. Send.
Example only (made-up customer, made-up business):
Hi Karen, thanks for sending the photo, and good catch spotting this early. A few quick questions: Is the water warm or cold? Does it drip all the time or only when the heater runs? About how old is the tank? Is the floor wet anywhere else? I can come take a look Thursday at 10 or Friday at 2. Which works? — Mike, Riverside Plumbing
Never do this
- Never quote a price from a photo. Say you need to see it first.
- Never skip a safety warning. If you think there's gas, sparks, or water near power, call the customer instead of texting.
- Don't paste the customer's full name, address or phone number into the chat. A first name is plenty.
Make it even faster next time
Copy the prompt into the Notes app on your phone. Next time a photo comes in, you just paste, attach the photo, and fill in the two times.
Common worries
"Won't customers just use ChatGPT and skip calling me?" Some small fixes, maybe. But most people still want a pro they trust for the real job. A fast, smart reply is how you become that pro.
"Is ChatGPT good at reading photos?" It's often helpful and sometimes wrong. Treat it like a helper who never saw the job. Your eyes on site always win.
Your next step
Find the last photo a customer texted you. Try the prompt on it tonight and see what it says.
